Front-desk platform for skin clinics

Bookings, consent and money. One calm screen.

Morning Room runs the clinic day — a scheduler that knows every therapist and every machine, consent signed at the desk and filed with the visit, and a till that keeps every payment on one ledger, to the cent.

None of these suit? Pick a time manually
The date picker shows morning and afternoon availability before anyone opens a day, and free times arrive grouped by therapist. When a day is full, it says who is busy and why — so the client on the phone gets an answer, not a hold.
Availability at a glance
Every date answers before you open it — morning and afternoon, right on the picker.
Slots by staff
Free times arrive grouped per therapist, morning and afternoon, ready to read out loud.
No-slots that explains
A full day names the staff and their reasons — no dead-end empty state.
Manual override
Double-book on purpose when the day calls for it — deliberately, never by accident.

Payment visibility

Know who's paid before you say hello.

Every visit wears its money on the calendar — seven states, one glance. The card keeps its treatment colour; a small disc says where the money stands. Hover any card for the full picture: total, paid, balance, and how it was covered. Every state is derived from the ledger, so it can't be a checkbox someone forgot to tick.

WRAP UP The wrap-up sweep
Nothing completes itself. A finished visit wears the tag and a dashed outline on the grid, joins the header's awaiting-wrap-up list, and a once-a-day nudge keeps the count honest — until a person closes it.
Late, on the record
Arrived late is a flag with minutes — it pulses on the calendar, survives completion, and shows in history. It never eats the visit's status.
Groups ribbon together
Multi-treatment visits share a colour ribbon — "1 of 2" across staff and machine columns — and settle as one bill.
03
On the way
One inbox

Answer the DMs while you're mid-facial.

A channel-agnostic inbox in the booking panel, right beside the calendar. Rules greet new enquiries and answer the questions you get twenty times a week, tapped or typed — on a visible countdown, so the desk can step in, pause a chat, or let them fly.
Instagram · first WhatsApp · not yet WeChat · not yet SMS · not yet — Instagram first. The inbox is built channel by channel, so each of these can be added as its own adapter
Rules that know the question
A welcome leads a new client's first answer, preset-question rules handle the classics — the most specific rule wins, and you drag to break ties.
AI match for typed questions
When a client types rather than taps, AI match compares the message with phrasings you've written and sends your own template. It writes nothing itself, and no message is sent to an AI service.
Only when it's sure
You set how sure it must be, and new rules watch first. A symptom or a second request goes to a person, a paused chat waits for your team, and answered chats stay unread.
Templates, text or image
Up to five messages per rule. Placeholders fill themselves, byte counter included — Instagram has no bold, so it tells you.
A visible countdown
Queued replies count down five minutes, "sends in 4:59", with Send now or Pause for this chat. The desk always outranks the robot.
Platform rules, handled
Instagram's reply rules enforce themselves — its 24-hour window runs as a live chip, and the composer says so when it closes.
Quick replies
⚡ in the composer opens searchable templates — arrow keys and Enter drop one in to edit, Enter again sends. Images stage with a preview first.
Triage built in
New, awaiting-reply and escalated filters, bulk mark-as-read and mark-as-done, link a thread to a customer record from its header: search by name or phone, tap.

Request via the client app instead
One ticket per visit: treatments, aftercare, packages and store credit, settled however the client wants to pay. Every row keeps its receipt — date, method, undo link, surcharge beside the amount — so end of day reconciles itself.
Split tenders
Cash, EFTPOS, bank transfer and store credit on one bill — enter one amount, the other takes the rest. A gift voucher's value spends as credit.
Surcharge, beside
A card surcharge, where your clinic adds one, records beside the amount, never inside it — revenue stays clean, the customer sees the truth.
Deposits & rollover
A per-visit deposit cap, no deposit where a package already covers the treatment, and rollover deposits paid from store credit — returned at completion, forfeited on a no-show.
Pay for a friend
Settle a partner's visit on the same bill — the payer is named on both.
Undo, not archaeology
Every payment row carries a Refund link, and an Undo for a mis-key within 12 hours, all with a full activity trail — mistakes take seconds, not spreadsheets.
Rewards as tenders
A voucher for a treatment covers its line, and a loyalty reward takes its treatment to $0 — "Reward applied", right on the ticket.

Request a deposit or a balance from the bill. The client gets a notification, or a text or email when their app can't take one, signs in, can put store credit towards it and pays the rest by card. It lands on the bill once Windcave confirms it.

Client wallet

Credit, points and packages that follow the client.

Store credit with expiry dates, tiers earned on real spend, prepaid courses and packages — one wallet per client, shareable across a household, with every movement staff make attributed to them.
Credit that expires honestly
Top-ups keep their expiry dates and the card warns before they lapse — no silent write-offs.
Windowed tiers
Tiers ride an 18-month spend window and re-check themselves on every earn — no manual housekeeping.
Household wallets
Link family profiles into one wallet — a crowned primary and attributed members. Linked by mistake? Undo puts it all back, until the shared wallet is first used.
Rewards at the till
Redeemed rewards wait on the client's profile. When their treatment is on a bill, the bill offers them, and one tap makes it "Reward applied".

End of day

Wrap up. Get the stamp.

A visit only becomes Completed when a person wraps it up — and the confirm lists exactly what that will do before it does it. One tap later the session is off the package, any rollover deposit is back in store credit, and the points are queued to land a day later. Nothing is completed by a timer at midnight.

Signing kiosk

Agreements signed at the counter, filed for good.

Sell a course of treatments and the agreement waits on the tablet at the counter: the client taps in with their mobile, confirms it's them and signs. The visit wears a SIGN badge on the calendar until it's done, and the signed form files itself on the client record. Consent forms sign on the same tablet.
