A platform fee, then a seat per therapist.
A clinic is a clinic whether it has two therapists or twelve: its own database and its own Instagram connection, plus support. The platform fee pays for that. The seat pays for the calendar column.

Questions about Morning Room, anything in it that isn't working, and ideas for it. Email support@morningroom.nz; we aim to reply by the end of the next business day, New Zealand time. If you can't take bookings or payments, say so in the subject line. Support is by email rather than phone. Leave client details out where you can: an email sits in our mailbox, not your clinic's system.
Therapists

Every staff column on the calendar that takes bookings: therapists, nurses, technicians. Part-timers count the same as full-timers. Machines have columns too, and those are free.
Signing kiosk

Any number of tablets, and it stays off until you switch it on. Consent forms and agreements signed at the desk and filed under the client's record. With consent forms on, you build your own.
Client app

On the way. The app in your brand: bookings, wallet, points and in-app payments, with app notifications your clients set the timing of. With Retail on, a Shop for your products too.
Text reminders

Email reminders are unlimited. Beyond the 200, texts are passed on at what our text provider charges, currently about 12c + GST each. A text over 160 characters counts as two.

Morning Room runs one site per clinic today. A larger clinic, or a second location, is a conversation about how your rooms and machines should work, and the demo is where it happens.
Founding-clinic pricing: the first ten clinics keep these prices for 24 months from the day they start, then stay 20% below the public price for as long as they're with us. Email campaigns, which are on the way, are included. Nothing on the roadmap has a price yet, and nothing appears on an invoice until it exists and you've switched it on; the website and online shop will be a paid add-on.

What you don't pay
The lines that aren't there.
Most clinic software is cheap on the page and expensive on the statement. These are the places it usually hides, and what's in each of them here.
No cut of your takings
Some systems take a percentage of every booking. We charge for the desk, not for your treatments.
No fee per new client
A client who finds you is yours. There is no marketplace and no finder's fee.
No payment markup
Card payments run through your own Windcave account. Their fees are between you and them, and we never touch the money.
No charge for machines
Every machine gets its own column on the calendar, with maintenance blocks. Add as many as you have.
No charge for the front desk
Only staff who take bookings count. Reception, the manager and the owner all log in free.
No charge to leave
Cancel any month. Your clients, history and balances are exported for you, and nothing is held back.
Paid to others, not to us
These come with taking cards and keeping books, whatever system you use. They go straight to the company that provides them, and none of it passes through us.
Card processing
Windcave's terminal rental and card fees, and an online account for deposits and in-app payments, on Windcave's own terms, including a minimum term. Get their quote before you sign, or keep your bank's terminal and record payments by hand.
Xero
Your own Xero subscription, if you use the nightly sync.
Tablets
The signing kiosk runs on tablets you own, as many as you like. The kiosk itself is in the platform fee.

Setup & migration
Your list comes free. Your history is quoted, never guessed.
Every clinic arrives with data in another system. Some of it moves in an afternoon; some of it has to be reconciled to the cent. So the price depends on what you bring, and you'll know it before anything moves.

Clients, treatments and prices, products, staff and machines. Loaded free once you've signed up.
From $750 + GST
Balances
Package and prepaid balances, store credit, gift vouchers, loyalty points and tiers. Reconciled to the cent, and signed off by you before go-live.
From $1,500 + GST
History
Booking history, payment history, notes and medical history, photos and documents. Quoted from your export, because every system exports differently.
Send the export
Whatever your current system will give you. If it won't give you anything, we'll say what can be done by hand and what that costs by the hour, before you decide.
A fixed quote
Within two business days of seeing the export. The number we quote is the number you pay.
Loaded into your own clinic
You check counts and balances against your old system before anything goes live, and nothing goes live until you say so.
Credited back
The balances and history fees come back as service credit after twelve months. Stay a year and the migration was free.
We move the data on your instruction, as your clinic's service provider under the Privacy Act. Your export is deleted from our systems 30 days after you sign off.

The terms
Short enough to read.
The parts of the agreement that decide what you pay and when.
Billing
Monthly in advance, on the first. Therapists are counted on the first of each month; someone you deactivate mid-month stops counting from the next bill.
Changes
Add or remove the client app or a therapist in any month, and switch the kiosk on or off whenever you like. Changes apply from the next bill.
Leaving
Cancel in any month and the service runs to the end of it. We export your clients, history and balances in open formats within 10 days.
Price changes
Founding clinics are locked for 24 months, then stay 20% below the public price while they stay subscribed. Any change to the public price comes with 60 days' written notice, and you can leave before it lands. Improvements to what you already pay for don't change your price; new modules arrive as optional add-ons, priced when they launch and billed only if you switch them on. An annual plan keeps its price for the year you've paid.
Tax and currency
Prices are in New Zealand dollars and exclude GST; invoices show GST separately. Australian clinics: the same numbers in Australian dollars, without New Zealand GST.
Support
Email is answered Monday to Friday, New Zealand time, outside New Zealand's national public holidays and a summer close-down we announce each year. The reply time on the sheet is a target we hold ourselves to, not a guaranteed service level, and there are no service credits. Now and then a reply takes longer; if we're going to be away, we tell you beforehand.
Payments and texts
Card processing is your agreement with Windcave, or your bank, on their terms and fees, not ours. Texts beyond the 200 included are billed at cost on the next bill.

Questions
The ones clinics ask.
What counts as a therapist?
Anyone with a column on the calendar that takes bookings: a therapist, nurse or technician. Machines have columns too, and those are free. Two part-timers sharing one column are one therapist; one person with two columns is two.
Why a platform fee at all?
Because every clinic gets its own database and its own Instagram connection, plus support, whether it has two therapists or twelve. The fee pays for the clinic; the seats pay for the calendar.
Do you take a cut of card payments?
No. Windcave charges you what your merchant agreement says, and none of it reaches us. We never see a card number either.
Is there a lock-in contract?
No. The agreement runs month to month. Annual is optional, and only there for the two months' saving.
Can I add the app, the kiosk, consent forms or Retail later?
Yes, in any month. The app is in your brand from the day you switch it on. The kiosk, consent forms and Retail come with the platform at no extra cost, and all three stay off until you ask for them.
What if I have two sites?
Morning Room runs one site per clinic today. If you have two, talk to us before you sign up rather than after, so we can say honestly what works.
What does “On the way” mean?
Built or nearly, but not switched on for new clinics yet:
- Instagram inbox and AI match: the connection for new clinics still has to be built and approved by Meta.
- The terminal and paying in the app: waiting on Windcave.
- Email campaigns: build and test-send work; sending to clients is still to come.
- The client app and its shop, the Xero sync and the supplier-PDF reader: each needs its first real run.
